ACCOMMODATION TERMS & CONDITIONS

Booking

  • Reservations are subject to availability and actual pricing at the time of booking
  • All quotes are valid for 24hrs only. Any verbal quote given is an estimate only of price, which will be subject to written advice on confirmation of reservation.
  • All accommodation bookings must be guaranteed at the time of reservation by provision of Valid Credit Card details
  • By providing valid credit card details, you warrant that you have the authority to use the credit card and you authorise The Post Office Hotel Cloncurry to charge the cost of your booking to the credit card in the case of cancellation or no-show penalties as detailed below.
  • Payment in full at time of booking
  • All reservations will be confirmed by email

 

Refunds

  • Peak Period or Festival Period Bookings – No refunds are given on bookings cancelled within 3 days of arrival
  • Off-Peak and Shoulder Period Bookings – No refunds are given on bookings cancelled within 24 hours of arrival
  • There will be NO refunds if your stay is cut short for any reason
  • Refunds falling outside these times will be provided less any booking fees incurred by the Hotel for the transaction

 

Check in and check out

  • Standard check- in time is 2.00pm. The name of the booking (or nominee) must be the person checking in.
  • Standard check- out time by 10.00am.
  • For guaranteed arrival prior to 2pm, a room must be reserved from the previous night and therefore includes an additional nightly charge.
    Late check-out up to 11.00 am is at the discretion of the Hotel manager and must be requested the night before check out.  
  • Late check out after 11.00am will incur the full rate of one (1) nights’ accommodation.
  • Please notify in the event of late arrival. Arrivals will only be accepted when the Hotel is open for trade.

 

 Car Parking

Onsite parking is free and subject to availability on arrival for hotel guests.

 

General terms and conditions

  • On arrival, guests will be required to provide a valid credit card or a cash deposit and photo identification to cover any incidental charges
  • Damage, breakages, theft, and losses are the tenants’ responsibility during their stay
  • Additional cleaning fees may apply as required
  • The Post Office Hotel Cloncurry practices the responsible service of alcohol
  • The consumption of drugs or (alcohol consumed after 12am) in rooms is strictly prohibited and may result in termination of booking, dismissal of guest without a refund and legal prosecution can occur 
  • Smoking is not permitted at any time on Level 1 of the Hotel and including all Motel Rooms. An additional $200 cleaning fee will be charged.
  • Pets are not allowed in the Hotel/Motel unless management has given approval (a extra cleaning fee of $200 will be charged)
  • For the enjoyment of all guests, noise restrictions apply after 9pm. Excessive noise is not tolerated
  • The number of guests must not exceed the number stated on the booking confirmation notice or subsequently agreed in writing or email
  • Lost or stolen keys will incur a $90 fee. Attempts will be made to contact the guest who will be given the opportunity to return keys taken. Failure to do so will result in the fee being charged to their credit card.
  • Room degradation (such as vomit, bodily wastes) a $200 cleaning fee will be charged, plus any professional floor cleaning charges at cost, plus a daily room tariff equal to the daily tariff that we would charge if the room was available to be let or any other rate that may be agreed to by the management, in accordance with business demand on the day, until the said room has been returned to its saleable condition

 

  • The breach of any of the above conditions may result in immediate termination of rental and charges

 

Party Policy

  • Zero tolerance party policy.
  • In the interest of quiet enjoyment and respect for all guests at the motel, a no party policy applies to all guests staying at the property.
  • Guests are expected to be respectful of other guests at all times, and to be quiet between 9pm-7am.
  • No group congregations in individual guest rooms is permitted or tolerated. Immediate eviction with no refund applies to any breaches of this policy.

 

COVID-19 and Accommodation Bookings

As per terms and conditions of booking, a prepayment will be taken 7 days prior to arrival or at the time of booking, depending on the seasonality. These prepayments are non-refundable however if you are unable to attend your reservation because of a COVID lockdown or exclusion, a credit will be offered that is valid for 12 months. To arrange a credit, you will need to send proof of address to the hotel and cancel your reservation as per hotel instructions. All credit requests must be made before the date of arrival.

 

 

 

 

Cooking & Fire

  • Cooking in guest level 1 Hotel rooms is strictly forbidden by Health Authorities
  • Fees for additional cleaning may apply should guest cook inside a guest room
  • Due to Fire regulations, Management must be aware of number of guests in rooms
  • NO CANDLES OR OPEN FLAMES PERMITTED.
  • Should the Fire Alarm be activated, the cost of Emergency Services attending, will be charged to the guest

 

Functions at The Post Office Hotel Cloncurry

Room Hire / Minimum Spend

A non-refundable nominated room hire fee is a mandatory requirement when booking a function space, this forms part of the terms and conditions of your booking and will secure your preferred event date. The Post Office Hotel has the right to refuse a booking and refund any payments made at its discretion.

Where exclusive use of the room is required, a minimum spend can apply depending on the date, size or occasion of the function.

Monday to Thursday: Upon discussion
Friday and Saturday: Room hire and minimum spend may be required.

Private Dining may require a deposit from September-December and a minimum spend or minimum number of guests may also be required.


Function Confirmation

A deposit payment is required to confirm and fully lock in a booking. To make things easy we usually arrange the room hire fee to be paid as the deposit, in which case it will not be refunded within 5 days of the booking.


Service Times

Guests may arrive 15 minutes prior to the function start time (unless a different time is pre-arranged). Where a drinks package / bar tab is in place guests may purchase their own drinks until commencement of the package.

Lunch Service: 12pm to 2.30pm
Dinner Service: Tue to Thurs 5.30pm to 8.30pm – Fri and Sat 9pm


Account Payment

Full payment of food for the guaranteed number of guests is required no later than five (5) days prior to the client’s function. Payments may be accepted by cash or direct bank transfer. Payments made by credit card (Visa / MasterCard) are also accepted. However, payments made by AMEX will incur a surcharge of 3.0% of the total account.

Payments can be made via card or cash at the venue, direct deposit or via credit card over the phone.

Please quote the function date as reference when making a bank deposit.


Decoration, Themes and Entertainment

All decorations, themes and entertainment must first be discussed with the function manager including and not limited to – any contracted third party. No adult entertainment is allowed on premise. Under no circumstances are confetti, table glitter or party poppers to be used. An additional cleaning cost of $100 will be charged if these items are used on the premise. If unsure of these items speak with the Function Manager. It is up to you as the client to ensure your suppliers understand the delivery and pick up times, please be aware that all veranda doors must be closed by 10:30pm for neighbourhood noise restriction purposes.


Damage to Property

Organisers are responsible for removal of decorations and any financial damage to the property; this includes improper use of fire extinguishers (minimum cost of $200 per extinguisher). The Post Office Hotel Cloncurry holds no responsibility for lost or damaged decorations. Please notify us if you wish to apply anything to walls or the ceiling.


Confirmation of Guests / Menu Selections

Guest numbers including any dietary requirements and allergies are to be confirmed not later than 10 days prior to the event to ensure correct food preparation and staffing requirements are met. Once final numbers have been confirmed full payment of food will be charged. Should your guest numbers be less than final numbers quoted, The Post Office Hotel will not be required to refund the remaining amount. Should you have extra guests on the night, an additional payment, per person, by cash or credit card will apply if The Post Office Hotel Cloncurry is able to cater for the extra numbers.


Verbal Advice

While all verbal advice given is based on best intentions for the client, under no circumstances should verbal advice be accepted or finalised without written confirmation.


Cancellation Policy

The room hire is non-refundable. If change of date is required and sufficient notice is given for a change of date, the room hire may be transferred, subject to availability and at the discretion of the Hotel. The Post Office Hotel Cloncurry reserves the right to cancel any booking and refund the room hire in the event of unforeseen circumstances out of our control. All cancellations must be in writing.

Where a cancellation is made less than two weeks prior to the nominated function date, room hire will not be refunded and the full minimum spend will be debited from your nominated credit card.


No refunds or transfers will be approved during the months of November and December – no exceptions.


Responsibility / Disclaimer

The Post Office Hotel Cloncurry will not accept any responsibility for any loss or damage to the client’s property before, during or after the event. The Post Office Hotel Cloncurry does not accept liability for any loss, damage, injury, delay, additional expense or inconvenience caused directly or indirectly through events held at The Post Office Hotel Cloncurry.


Prices

All prices are inclusive of GST. Every possible effort is taken to maintain pricing, but these are subject to change at the managements discretion to allow for market cost variations and the introduction of any statutory taxes.
